Position: Communications/Administrative Assistant – Permanent Full-Time

Location: Sources Corporate Office – White Rock

Hours: 35 hours/week (Mon-Fri 8:30am-4:30pm). Must be willing to work outside regular hours in order to meet the objectives of the position.

About Sources
Sources is a community-based non-profit organization that provides help, encouragement, and hope for individuals and families in White Rock, Surrey, Delta, Langley, Prince George, and Parksville, B.C. Our dedicated team serves 40,000 individuals yearly. We provide services such as food banks, counselling, advocacy, and community living programs. Sources Corporate Office
The team at Sources Corporate Office is small but mighty. We directly support the CEO and engage with high-level senior staff within and outside of SOURCES. Our work with Sources Community Resources Society touches more than 40 programs and services across the province. Our work with the Sources Foundation helps raise money to maintain and develop services that are either largely or entirely community-funded.

Responsibilities:

  • ·       Reports to the CEO and receives supervision from the Communications Coordinator and Executive Coordinator

Communications

  • ·       Work with the internal team and external partners to develop multimedia content about clients, volunteers, staff and other stakeholders
  • ·       Provide communications and marketing support for Sources programs and events
  • ·       Assist with updating Sources’ websites with current and dynamic information that increases site visits
  • ·       Produce Sources’ internal and external newsletters
  • ·       Draft and schedule social media posts
  • ·       Produce tracking & analysis reports and research recommendations for continuous improvement
  • ·       Other related duties as assigned

Administration and Office Support

  • ·       Coordinate and support Program Manager Meetings and Board Meetings
  • ·       Assist with events including the Annual General Meeting and various fundraisers
  • ·       Ensure contracts are reviewed and approved by appropriate staff and returned in a timely manner
  • ·       Coordinate the completion of the CEO’s Program Reimbursement Forms
  • ·       Ensure donor thank-you letters are signed by CEO, mailed and tracked
  • ·       Track sales of Rotary Save-On-Foods Gift Cards at the Corporate Office
  • ·       Pick-up and delivery between SOURCES locations
  • ·       General reception and office upkeep tasks including ordering of supplies
  • ·       Other related duties as assigned

Qualifications:

  • ·       Post-secondary education in communications or related field, supplemented with education and/or experience in office/administration support
  • ·       A clear, creative and concise communicator (both verbally and written) who can craft compelling stories and tailor them for a variety of platforms and audiences
  • ·       Proven ability to maintain confidentiality, and exercise tact and good judgment in dealing with various stakeholders
  • ·       Excellent editing/proofreading abilities, organization and time management skills
  • ·       A self-motivated individual who can work independently and collaboratively
  • ·       Able to give and receive positive and constructive feedback
  • ·       Experience with graphic design, photography, videography, public relations, media and marketing
  • ·       Familiarity with Windows OS and software applications including Microsoft Office Suite (Word, Excel, Powerpoint, Publisher), Adobe products (Acrobat, Photoshop), social media platforms (Hootsuite, Facebook, Twitter, LinkedIn, Instagram, YouTube), and WordPress
  • ·       Community awareness and interest, especially in the non-profit and social services sectors
  • ·       Successful criminal record check
  • ·       Unrestricted Class 5 B.C. Driver’s license
