Position: Program Assistant

Location: Surrey-Panorama

Hours: 35 hours per week

We are looking for a Program Assistant to join our SOURCES Empowered for Employment team! This individual must be able to work with multi-barriered clients and have excellent customer service, administration, and organizational skills; and be flexible to perform a variety of duties.

SOURCES Empowered for Employment Services

Empowered for Employment Services (EFE) provide comprehensive supports to a range of diverse job seeking clients, including survivors of violence and/or abuse, mature workers 55+, persons with disabilities, and people at risk of or experiencing homelessness who want to make positive changes in their lives and prepare for a successful transition to employment.

Responsibilities:

  • Receive and direct incoming calls, respond to all program inquiries via phone and email, providing information about Empowered for Employment (EFE) services.
  • Receive and greet visitors and clients to the office
  • Manage client access to EFE services including referrals, initial screening, intake assessment, needs determination and program registration.
  • Maintain tracking and statistical data,  and enter client data into CIMS (Contract Information Management System) and Sharevision as required.
  • Provide administrative support to program facilitators including preparation of documents, filing, photocopying, workshop materials etc.
  • Manage office supplies, maintain inventory, troubleshoot equipment as required for day-to-day operations.
  • Maintain an organized and tidy office and resource area appropriate to client service needs and ensure a safe and welcoming environment.
  • Create a positive atmosphere to inspire clients and boost confidence while respecting individual dignity and confidentiality of all individuals accessing EFE services.
  • Ensure day-to-day operations of employment programming with emphasis on providing exceptional service and maintaining service delivery standards.

Qualifications:

  • ·         Preference given to candidates who possess a diploma or certificate in Office Administration, Administrative Assistant, or related training in Career Development.
  • ·         Minimum of one (1) year experience in office administration and/or employment services/career development field.
  • ·         Experience with and ability to work with diverse client populations including individuals with barriers to employment and persons with disabilities.
  • ·         Strong verbal and written communication skills.
  • ·         Exceptional customer service skills combined with a professional demeanor and ability to build rapport with a variety of clients, diffuse difficult situations in a tactful manner and appropriately resolve client concerns and issues.
  • ·         Demonstrated administrative skills, and proficient with business technology, with advanced computer/technical skills and experience, including MS Office, data management systems, social media, internet navigation and research.
  • ·         Familiarity with community-based employment services and alternate community support and crisis care resources.
  • ·         Self-motivated, adaptable, and flexible with the ability to multi-task, take initiative, work independently under pressure, work effectively in a team environment and exercise good judgment in a continually changing and demanding work environment.
  • ·         Clear Criminal Record Check.
  • ·         Completion of Privacy and Information Sharing Training.
